What "WhatsApp integration" actually means
Integration means WhatsApp runs inside your practice software, not beside it.
Many practices already "use WhatsApp", but on a phone at the front desk. Messages sit on that handset, reminders are typed by hand, and nothing is linked to the patient's file.
An integrated setup works differently:
- It uses the official WhatsApp Business API, not the phone app. This is Meta's platform for businesses that send messages from software.
- It runs on a dedicated practice number, owned by the practice in its own Twilio account.
- Every message is tied to the patient and the appointment in the practice system.
Integrated inside the practice system vs a separate messaging tool
There are two ways to connect WhatsApp: inside the practice system, or through a separate messaging tool that sits between WhatsApp and your records.

A separate tool can work well for some organisations. For a private practice, keeping messages in the same system as the diary and record means less copying between screens.
What an integrated WhatsApp setup does for a practice
The practical win is less phone work at the front desk.
- Appointment reminders from the diary. Choose up to three sending times per appointment. Reminders go out on their own when a booking is made.
- Booking confirmations. Patients get the date, time and practice details on WhatsApp as soon as they book.
- Intake form links. Send the right intake form for the booking, so history and consent are captured before the patient arrives.
- Two-way patient messaging. Patients reply on WhatsApp, and the team answers from HeroMed, inside the 24-hour reply window.
- SMS and calls on the same number. SMS is available on the same practice number, and calls in and out where voice is available on the number you buy.
What you need to know before you switch
Integrated WhatsApp has a few rules that differ from the phone app.
- The number can't stay in the WhatsApp app on a phone. A number runs either on a phone or in a connected system, not both.
- There's a 24-hour reply window. You reply freely for 24 hours after a patient messages you. Outside it, only pre-approved templates such as reminders can be sent.
- It's one-to-one only. The practice number can't be part of WhatsApp group chats.
- Some messages carry Meta charges. These are billed to your own Twilio account. HeroMed doesn't charge per message.

Privacy and POPIA
Keep WhatsApp for appointments and admin, and keep clinical detail in the record.
- Record patient consent to be contacted on WhatsApp, and honour opt-outs.
- Don't send results, diagnoses or detailed clinical notes on WhatsApp.
