All AI Heroes
WhatsApp & SMS Hero

Appointment reminders on the channel patients actually read.

Email gets buried and voicemail gets ignored. Booking confirmations and reminders are sent by email from your calendar — with up to three customized sending times per appointment, delivery status tracking and open/read reporting. WhatsApp and SMS are available as channels for the same messages.

Patient messaging

How the messages get sent.

Driven by the calendar, not by someone remembering.

1. Triggered by the booking

The moment an appointment is made — online, by phone or at the desk — a confirmation goes out with the date, time, practitioner, location and a calendar link.

2. Up to three sending times

Set how far ahead reminders go. Choose up to three customized sending times per appointment — at creation, one hour before, one day before, one week before, or any interval that suits your workflow.

3. Delivery and read reporting

See whether each confirmation or reminder was sent, failed, opened or read, with delivery status kept against the patient record so you know what reached the patient.

4. Consent and opt-out respected

Every message honours the patient's channel consent, carries an opt-out and is logged against the record, so your messaging stays compliant and auditable.

Where it fits

Not a separate messaging tool — wired to the calendar.

Bolt-on reminder tools need a contact list uploaded and kept current, which is why reminders end up going to patients who already cancelled. Here the messages come off the live calendar and patient record, so a cancellation, reschedule or change of practitioner is reflected in what the patient receives.

WhatsApp & SMS is one of the AI Heroes inside HeroMed Core AI. Combine it with Booking so patients can self-reschedule from the reminder, and with Marketing for automated recall campaigns that reach patients on the channel they prefer.

Common questions

Patient messaging, answered clearly.

Why send appointment reminders on WhatsApp instead of SMS?

In many of the markets HeroMed serves — South Africa, the UK, the EU and the Middle East especially — WhatsApp is where patients actually read messages, and it supports richer content. HeroMed sends reminders by email, with WhatsApp and SMS as channel options, so you can use the channel each patient prefers rather than one for everybody.

Are the reminders automatic?

Yes. Confirmations fire when the appointment is created and reminders fire at the up to three sending times you configure per appointment type. Nobody has to run a daily list or paste anything into a phone.

Can patients reply?

Reminders can include a link for the patient to confirm, reschedule or cancel themselves. For a unified inbox that brings WhatsApp, SMS and email replies into one place and links them to patient profiles, that is the AI Marketing Hero.

Is patient messaging compliant with privacy rules?

Messaging is consent-based: channel consent is recorded on the patient profile, every message includes an opt-out, and the full send history is logged against the record. This is built around POPIA, GDPR and HIPAA expectations, and message content is kept to what the patient needs rather than clinical detail.

Will this reduce no-shows?

Reminders with an easy reschedule option are the single most effective lever most clinics have on no-shows, because the patient moves the appointment rather than silently missing it — and the freed slot can be offered to someone on the waitlist.

Do I pay for a separate SMS or reminder product?

No. Messaging is a module of HeroMed Core AI, metered through the AI credits and messaging allowance in your plan, rather than a separate reminder subscription on top of your practice software.

What about recall and follow-up campaigns?

The Messaging Hero handles appointment-based reminders and confirmations. For recall journeys triggered by time since last visit, treatment plans or appointment status, the AI Marketing Hero builds segmented campaigns and sends them through the same WhatsApp, SMS and email channels. The two are designed to work together.
