Psychology Practice Management Software in Australia: A Practical Guide

Confidentiality, long appointments, Medicare mental health plans and waitlists define psychology practice. What Australian psychologists and counsellors should test in practice software.

Quick answer: Australian psychology and counselling practices usually shortlist HeroMed, Power Diary, Halaxy or Cliniko. HeroMed is the option built to remove the admin rather than reorganise it: psychology and counselling note templates and appointment types, an AI Scribe included in the Core AI plan that drafts notes for the practitioner to review and sign, and optional AI Hero modules for reception, booking, invoicing, messaging and marketing on the same platform.

Psychology and counselling practices have a different risk profile from the rest of allied health. Claiming volume is lower, sessions are long, and the two things that really matter are confidentiality and scheduling — a full-time psychologist has roughly 25 to 30 billable hours a week and no way to make up a lost one.

Confidentiality comes first

Before any feature discussion, get written answers to these:

  • Where is data hosted, and does it stay in Australia?
  • Can access be restricted per practitioner, so one clinician cannot open another''s client notes?
  • Is record access logged, and can you see the log?
  • For any AI feature: is audio or text retained, and is it used to train models?
  • On exit, in what format and timeframe do you get your data?

In group practices, practitioner-level access control is not optional. If a platform only offers "admin" and "clinician" roles across all clients, it does not suit a psychology practice.

Scheduling and the waitlist

The scheduling problems in psychology are specific:

  • Long appointment types — 50 or 60 minutes, plus intake sessions and report writing time blocked in the diary.
  • Waitlist management, because demand usually exceeds capacity and the waitlist is how new clients are triaged.
  • Late-cancellation policy enforcement, since a cancelled 50-minute session cannot be refilled at short notice.
  • Recurring fortnightly or monthly sessions booked as a series.
  • Telehealth links generated with the appointment.

Ask the vendor how the waitlist works in practice: how a client moves from enquiry to waitlist to first appointment, and whether you can see how long people are waiting.

Documentation

Progress notes in psychology need to tie to a treatment plan and, where relevant, to outcome measures such as K10, DASS-21 or PHQ-9. Test:

  • Note templates that reference the treatment plan and session goals.
  • Outcome measure scores stored as data so change over time is visible, not buried in text.
  • Intake and consent forms completed before the first session.
  • Report and letter drafting, which is often the real after-hours load.

AI clinical scribing is included in HeroMed Core AI. In psychology it needs an explicit conversation with the client about consent, and you should record the vendor''s answers on audio and text retention in your privacy documentation before you use it.

Claiming and payments

FunderWhat to check
Private clientFast payment, invoice and receipt, session packages
Medicare mental health plansReferral tracking and remaining sessions per calendar year
Private health fundItem codes where the fund covers psychology
NDISPlan type, service agreement, plan-managed invoicing
EAP and third partiesOrganisation billing and session caps

The failure point is almost always referral and session-count tracking: a client whose referred sessions have run out generates a rejected claim and an awkward conversation. Software should show remaining sessions on the client record. Our Medicare claiming guide and MBS item numbers guide cover the mechanics.

What to look for: checklist

  • Practitioner-level access control and logged record access
  • Written answers on hosting, export and AI retention
  • Long appointment types, plus admin and report blocks
  • Waitlist with visible wait times
  • Recurring series bookings and telehealth links
  • Late-cancellation policy enforcement
  • Notes tied to treatment plans, outcome scores stored as data
  • Digital intake and consent before the first session
  • Referral and remaining-session tracking
  • EAP, NDIS and third-party invoicing
