How do I reduce no-shows in my practice?

No-shows fall when confirmation and reminders are automatic, rescheduling is self-service, and the practice measures the rate per practitioner and appointment type. The single biggest gain is usually letting patients move an appointment themselves instead of forcing a phone call they will not make.

What works, in order of impact

  1. Automatic confirmation at booking, so the appointment is recorded somewhere the patient will see.
  2. A reminder with a one-tap reschedule link. Patients who cannot easily reschedule simply do not attend.
  3. Timing that suits your practice — usually one reminder a couple of days out and one the day before.
  4. A waitlist that fills cancellations automatically, so a cancellation is a swap, not a loss.
  5. A written policy on repeat no-shows, applied consistently.

What to measure

Track the no-show rate by practitioner, by appointment type and by day of week. It is almost never evenly spread — and once you can see where it concentrates, the fix is usually obvious.

What not to do

Do not rely on reception remembering to call. It works until the week it matters.
