How much does medical practice management software cost?
Practice management software is usually priced per practitioner per month, with claiming, messaging and marketing often charged separately. HeroMed Core AI plans start at $49 per month, with $99, $249 and custom tiers; reception, booking, invoicing, messaging and marketing are optional modules, and HeroMed Prime for South African medical scheme EDI claims is R1,045 per month including VAT.

What actually drives the bill
- Number of practitioners. Nearly every platform prices per practitioner, so ask for pricing at your size and one step up.
- What is in the base plan. Diary, records, notes and invoicing should be. HeroMed includes the AI Scribe in Core AI as well.
- Optional modules. HeroMed keeps AI Reception, AI Booking, AI Invoicing, AI Messaging and AI Marketing optional, so a solo practitioner is not paying for a call centre.
- Claiming. In South Africa, real-time medical scheme EDI claiming sits in HeroMed Prime.
- AI usage. AI features draw on the credits included with the plan, which can be topped up if a practice uses more.
- One-off costs. Migration, training and setup — ask about these explicitly.
The comparison question that cuts through it
Ask every vendor: "What will my total monthly invoice be, at my current size, with everything I actually need switched on?" Compare those numbers, not the headline prices.
